CTL recently published a best practice handbook entitled "K-12 Technology Lifecycle Management." Below is an excerpt from the book focusing on Chromebook deployment options, planning, and strategies.
CONFIGURATION
Efficient device preparation is paramount for a smooth rollout. Work closely with your technology vendor to streamline the configuration process. Many vendors, including CTL, offer services to prepare devices directly out of the bulk shipping box for immediate student and staff use, significantly reducing the burden on in-house IT staff.
SERVICES
To further optimize deployment, consider leveraging configuration and deployment services offered by vendors:
- Zero-touch enrollment (ZTE). Pre-enroll your ChromeOS devices for fast, out-of-the-box operation. Many vendors, like CTL, offer this service for free.
- White glove ZTE service. Free up your IT resources with this comprehensive service ensures devices arrive fully configured, charged, and ready for distribution, often including basic setup and testing
- Asset tagging. Having devices pre-tagged with unique asset IDs before they arrive simplifies inventory management and tracking throughout their lifecycle. You’ll lose fewer devices and improve your TCO.
- Protective accessories. To increase the lifespan of your devices and lower your TCO, consider installing a case for your devices, screen protectors, vinyl coverings over asset tags, and other items that protect against damage for year-over-year use.
- Device branding. Some vendors, including CTL, can apply school logos or custom branding directly to devices, fostering school spirit and potentially deterring theft.

STAGING AND DISTRIBUTION
Careful logistical planning is essential for a successful device rollout. This involves:
- Inventory management. Confirming receipt of all devices against purchase orders.
- Storage. Securely storing devices before distribution.
- Distribution schedule. Develop a clear timeline for distributing devices to classrooms or individual students.
- Staffing. Ensuring adequate personnel are available to assist with the physical distribution and initial troubleshooting.
USER TRAINING
Even the most advanced technology is ineffective without proper user training. Provide comprehensive training for both teachers and students on new devices and software, either in person or with recorded video tutorials. This should cover:
- Basic device operation. How to power on/off, connect to Wi-Fi, and navigate the interface.
- Software familiarity. Guidance on using core educational applications.
- Best practices. Tips for responsible digital citizenship, device care, battery management, and troubleshooting minor issues can extend device lifecycles.
- Security awareness. Educating users on safe online practices and data privacy.
ACCEPTABLE USE POLICIES (AUPS)
Clearly defined Acceptable Use Policies (AUPs) are fundamental to responsible technology integration and can extend the lifecycle of your technologies. These policies should:
- Outline responsible use. Define appropriate behavior when using school technology and networks.
- Address digital citizenship. Cover topics like online etiquette, cyberbullying, and academic integrity. Make it fun with interactive training and quizzes.
- Communicate consequences. Clearly state the repercussions for violating the AUP, and communicate to students, staff, and parents.
- Be accessible. Ensure the AUP is easily accessible to students, staff, and parents.
Streamlining Tech Deployments for Large Public School Districts
A large public school district, serving over 44,000 students across 81 schools, partnered with CTL to help streamline Chromebook deployment and servicing. Facing the challenge of managing a vast fleet of educational devices, this collaboration allowed the district to focus on education, entrusting device deployment, maintenance, and repair to CTL.
CTL’s tailored solutions significantly boosted the school district’s technology deployment efficiency. Services included custom device screen printing as theft deterrent and to promote school pride. CTL also provided white glove ZTE service with asset tagging, simplifying inventory and deployment. Crucially, CTL’s OEM-expert repair services each summer kept devices operating optimally, minimizing downtime and extending the Chromebooks’ lifespans. This partnership empowered the district to provide a seamless digital learning environment for its large student body.
